Lifestyle teams in Australian aged care spend disproportionate time replanning programs that should be reusable. Paint-by-numbers is structured enough that one good 12-week template will carry you through a year of quarters.
Here's the template we recommend, with the reporting that keeps it on the budget for next year.
The 12-Week Shape
Weeks 1–4: small canvas (20×30 cm), single subject (one flower, one animal — the animal and pet designs are the reliable crowd-pleaser). Builds confidence.
Weeks 5–8: medium canvas (30×40 cm), seasonal theme. Sustained engagement.
Weeks 9–12: gallery prep. Residents complete or finalise a piece. Final week: family afternoon tea and display.
Materials Budget
~$45 per resident for the quarter, assuming brush re-use and shared water cups. Bulk orders of 10+ kits typically come with discounted shipping, which is how our aged care and retirement village programs are set up.
A single quarterly purchase order beats weekly ad-hoc spending and survives finance review.
Family Touchpoints
Week 1: email families with a photo of their loved one starting. Week 6: send a progress photo. Week 12: in-person gallery viewing.
Three touchpoints per quarter is more family contact than most homes manage in six months of generic activities. A kit made from a photo the family sends in gives those emails something personal to show.
Reporting That Renews the Budget
Attendance rates. Average minutes of sustained engagement. PRN psychotropic use during program weeks vs. baseline. Family complaint volume during program weeks vs. baseline.
These four numbers are the language the board and the regulator both speak.
Adapting for Different Cohorts
Memory support: smaller sections, fewer colours, more 1:1 support. Independent living: bigger canvases, more autonomy, occasional 'master class' format. Respite residents: standalone single-session kits.
Same program shape, different scaffolding per cohort.
A reusable program template is the difference between a lifestyle team that's perpetually reinventing the wheel and one that's quietly delivering a measurable wellbeing program. Paint-by-numbers is one of the easiest categories to systematise.
